Assign volunteers automatically

When a visitor is added to Rooted, Rooted assigns them to your volunteer based on rules you configure. Rules can be by age group, church branch, interest area, etc. The volunteer gets an immediate notification so they know exactly who to call and when. Visitors can also be assigned to volunteers manually.

Log every attempt. Track what actually connected.

Rooted separates outreach attempts from confirmed touchpoints. A call with no answer gets logged as an attempt. A real conversation gets logged as a touchpoint. Your progress data stays accurate.

Every call, WhatsApp message, email, and coffee meeting is recorded on the visitor profile. When a follow-up assistant changes, the next person has full context immediately.

Rooted tracks each visitor through a 4-touchpoint journey. You see who is progressing, who is stuck, and who just completed. Each milestone is visible on the visitor profile and on your dashboard.

Know who is at risk before they stop coming

If a visitor has not had meaningful contact within your configured window (the default is 14 days), Rooted marks them at-risk automatically. Their follow-up assistant gets an alert. They show up prominently on your dashboard.

The threshold is configurable per branch. Smaller churches often move faster. Rooted adapts to your pace.

Personal tasks for follow-up assistants

Follow-up assistants can create tasks for themselves directly in Rooted. A reminder to call back on Thursday. A note to check in after a small group. Tasks are tied to visitor profiles so nothing falls between the cracks of a busy week.

If your welcome team collects visitor info in a Google Sheet, Rooted can sync it automatically every hour. Or hit “Sync now” to pull in new rows immediately. No manual importing. No copying rows into another system after every service.
